The standard parts of a formal letter
A good official or business letter helps the reader answer three questions quickly: who sent it, why it was sent, and what should happen next? A complete format commonly begins with the sender’s contact information, followed by the date and the recipient’s name, title, organization and postal address. A short subject line is useful when the reader handles many documents or when the letter refers to an account, application, invoice, case or meeting.
The salutation should fit the relationship and available information. “Dear Ms Bennett,” is more specific than a generic greeting when the name is known. Use “Dear Hiring Manager,” or an accurate office title when a person cannot be identified. In the body, put the main point in the first paragraph, supporting details in the middle, and the requested action or courteous conclusion in the last paragraph. Finish with an appropriate close, typed name and role. List enclosures only when files or papers are actually attached.

There is no single layout for every country, organization and purpose. If the recipient has supplied a required format, form, reference line or submission portal, follow those instructions. The format selector changes placement; it does not change the factual meaning of your letter.
Business and official letter format
A business letter should sound purposeful rather than decorative. Use a descriptive subject such as “Request for revised delivery schedule” instead of a vague label such as “Important.” Identify the relevant order, project, account or meeting without exposing more personal information than the recipient needs. When asking for action, give a realistic date and a clear contact route. When confirming an agreement, state what each party is expected to do and avoid adding terms that were never accepted.
An official letter may go to a government office, school, bank, landlord, employer or service provider. Check whether the receiving organization needs a case number, identification document, original signature, specific declaration, fee or supporting evidence. A well-formatted letter cannot replace those requirements. Save a copy of the final letter and proof of delivery when the matter is important.

Cover, resignation and recommendation letter formats
A cover letter normally adds a hiring manager and company address above a focused three- or four-paragraph message. Open with the role and reason for interest, connect two or three relevant strengths to the employer’s needs, then close with a truthful expression of interest in an interview. Do not include a photo, age, identity number or unrelated personal information unless local practice and the employer’s lawful instructions genuinely require it.
A simple resignation letter can be much shorter. State that you are resigning, identify the position and intended last day, and offer reasonable transition help. You can express appreciation without explaining private circumstances. A recommendation letter is different: it must reflect the recommender’s own knowledge and approval. A template can organize the text, but it must not invent achievements, relationships, titles or endorsements.
What is a notarized letter?
A notarized letter is not simply a document with a seal graphic. Depending on the jurisdiction and requested notarial act, a commissioned notary may verify the signer’s identity, witness or acknowledge a signature, or administer an oath or affirmation and complete prescribed certificate wording. The downloadable declaration sample in this editor is only editable body text. It is not notarized, does not include a fake seal, and does not prove that a signature or statement is valid.
Ask the receiving authority exactly which document, notarial act, certificate wording, identification, witnesses, language and signing method it accepts. Do not sign in advance if the applicable process requires signing in front of the notary. For contracts, sworn statements, demands, immigration, court, property, financial or other high-consequence matters, obtain advice from a qualified professional in the relevant jurisdiction.
English letters, Chinese letter format and local conventions
This workspace produces English-language letters and offers common business layouts, but correspondence conventions are not identical worldwide. A Chinese business letter may use Chinese language, titles, address order, date style and culturally appropriate greetings that an English sample does not supply. The same caution applies to any translated or cross-border letter: confirm the recipient’s preferred language, script, name order, address format and formality. Use a qualified translator or local reviewer when accuracy affects rights, money, admission, employment or government action.
A newsletter is also different from a formal letter. A newsletter is usually a recurring publication with headings, multiple stories, images and subscriber or distribution considerations. Use a document or email publishing tool for that task. And “formatting a USB drive” is a computer-storage operation, not a letter-writing topic; it is intentionally outside this editor.
