Create a clear professional invoice or bill with automatic totals
This invoice generator helps a freelancer, shop, consultant or small business prepare a structured invoice without starting from an empty document. Choose a design and document type, replace the English dummy details, add products or services, set the currency, discount and tax, then print or download PDF or PNG. The preview and calculations update as you type.
What is an invoice?
An invoice is a seller’s itemized request for payment. It identifies the parties, supply, prices, taxes, total, payment terms and a unique reference.
What is a bill?
A bill commonly requests payment at or soon after a sale. In everyday use, “bill” and “invoice” can overlap, but local business and tax rules may distinguish them.
Which file should I use?
Use PDF for a stable final document, PNG for an image-based workflow, or Print when you need a paper copy from the current device.

Information a professional invoice normally includes
A useful invoice lets the customer understand who issued it, what was supplied, what amount is due and how to pay. Tax invoices may require more information than ordinary commercial invoices. Requirements differ by jurisdiction, registration status, customer type and transaction, so the fields below are a practical checklist rather than legal certification.
- Clear document label and unique sequential invoice number
- Issue date and, when relevant, supply or transaction date
- Supplier name, address, contact details and required tax identifier
- Customer name, billing address and required customer tax identifier
- Description and quantity of each good or service
- Unit price, discounts, taxable value, tax rate and tax amount
- Total payable, amount paid and remaining balance
- Due date, payment method, bank reference and agreed terms
Invoice, bill, receipt and pro forma: which should you choose?
| Document | Typical purpose | Important check |
|---|---|---|
| Invoice | Itemized request for payment after or around a supply | Use a unique number and clear payment terms |
| Tax invoice | Records a taxable supply by an eligible or registered seller | Confirm prescribed identifiers, tax breakdown and e-invoicing rules |
| Pro forma invoice | Preliminary statement before the final sale or shipment | Label it clearly; it may not be a final tax invoice or payment demand |
| Sales or cash bill | Records goods or services sold, often in retail or immediate-payment situations | Check local receipt, POS and tax requirements |
| Receipt | Confirms that money was received | Show the amount paid, payment method and any balance |
| Estimate or quotation | Offers expected prices before customer approval | State validity, exclusions and whether tax is included |
How subtotal, discount, tax and balance are calculated
Each line amount is quantity multiplied by rate. The subtotal is the sum of all line amounts. With exclusive pricing, a discount is deducted before the selected tax percentage is added; shipping and other charges are then included. With tax-inclusive pricing, the entered taxable amount already contains tax, so the tool extracts the tax portion rather than adding it again. The balance due is the final total minus the amount already paid.
Rounding and the order in which discounts, freight and taxes are treated can vary. Compare the result with your accounting policy or prescribed tax system before issuing the document. This browser tool is a document maker, not bookkeeping, filing or government e-invoicing software.

GST, VAT and sales-tax invoice notes
Tax names and rules are not interchangeable. A GST invoice in India, Pakistan or Australia, a VAT invoice in the United Kingdom or European Union, and a sales-tax invoice elsewhere can require different registrations, fields, tax-point rules, numbering, digital reporting and retention. The generator therefore provides editable labels, seller and buyer tax IDs, supply date, item details, exclusive and inclusive tax modes and a visible tax amount without claiming automatic legal compliance.
For example, European Commission guidance lists the date of issue, a unique sequential number, supplier and customer details, description and quantity, unit price excluding tax, transaction date where different, VAT rate and VAT amount among the information used on a full VAT invoice. Pakistan’s current Sales Tax Act similarly describes serial numbering, supplier and recipient particulars, issue date, goods description and quantity, value excluding tax, sales-tax amount and value including tax, while also allowing electronic-invoice integration requirements for specified persons. Always check the latest official guidance for the place where the seller is registered.

Can I download PDF and PNG files?
Yes. Choose print-ready PDF or high-resolution PNG in the Download panel, or use Print for a paper or system-PDF workflow.
Is this accounting or government e-invoicing software?
No. It creates a formatted document and performs visible arithmetic. It does not post ledger entries, file a tax return, validate registration numbers or transmit an invoice to a government system.
Are my invoice details private?
This version generates the preview and downloads in the browser. It does not submit the entered customer, item, price, payment or logo data to EnglishTemplates.
